How Rotaract Club of Delhi Dynamic Leaders (RACDDL) handles your information

Last updated: August 11, 2026

01Who we are

Rotaract Club of Delhi Dynamic Leaders ("RACDDL," "we," "us," or "our") is a Rotaract club affiliated with Rotary International District 3011, operating as a volunteer-run community service organisation. This policy explains how we handle information collected through racddl.com and our related admin systems.

You can reach us at [email protected] or +91 9667 545342 with any question about this policy or your information.

02Information we collect

We collect information you choose to give us, primarily through forms on this site, such as:

  • Membership, volunteer, and event registration forms: name, email, phone number, and answers to the specific questions on that form.
  • Contact and enquiry forms: name, email, and your message.
  • Donation forms: name and contact details for acknowledgement; we do not process or store payment card details ourselves (donations are made via UPI directly to the club).
  • Any file you upload as part of a form (for example, a club logo or supporting document).

We also automatically collect limited technical information when you browse the site:

  • Standard web server logs (IP address, browser type, pages visited, timestamps).
  • Anti-spam verification data from Cloudflare Turnstile when you submit a form.

03How we use your information

  • To process membership applications, volunteer sign-ups, and event registrations.
  • To communicate with you about a form you submitted, an event you registered for, or a query you raised.
  • To maintain our club's records of members, volunteers, and past participants, as required for a Rotaract club affiliated with Rotary International.
  • To send service-related updates (for example, event reminders) to people who have registered or applied.
  • To keep the website secure and prevent spam or abuse of our forms.

We do not sell your information, and we do not use it for advertising.

04Services we use to run this site

We rely on a small number of third-party service providers to operate racddl.com. Each only receives the data needed to perform its specific function:

  • Payload CMS / hosting infrastructure: stores form submissions and site content on servers we control.
  • UploadThing: stores files uploaded through our forms (for example, certificates or club logos).
  • ZeptoMail / SMTP email delivery: sends confirmation and notification emails on our behalf.
  • Cloudflare Turnstile: verifies that form submissions come from a real person, not automated spam.
  • Google Sheets and Google Drive: used only by authorised club administrators to export form responses into a spreadsheet, either one our system creates or one an administrator explicitly links. See the next section for how this specifically works.

05Use of Google user data

Some administrators of this website may choose to connect their own Google account to export form responses to Google Sheets. When they do, our access to that Google account is limited to exactly what is needed for this feature:

  • Reading the administrator's email address, solely to display which account is connected.
  • Creating a new Google Sheet, or writing to a specific existing Google Sheet the administrator has explicitly selected, to place form-response data into it.

We do not use this access to read, modify, or delete any other file in the administrator's Google Drive, and we do not use Google user data for advertising, for building user profiles, or for any purpose other than the sheet-export feature described above. The authorisation (refresh token) is stored encrypted and can be revoked by the administrator at any time from within the admin panel, or directly from Google Account permissions. RACDDL's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

06Cookies

We use only the cookies necessary for the site to function correctly, such as keeping an administrator signed in to the admin panel, and a cookie set by Cloudflare Turnstile to verify form submissions. We do not use third-party advertising or cross-site tracking cookies.

07Data retention and security

We keep membership, volunteer, and event records for as long as reasonably needed for club administration and Rotary International reporting requirements, and delete or anonymise other form submissions (such as general enquiries) once they are no longer needed. We take reasonable technical and organisational measures, including encrypted storage of sensitive credentials and restricted admin access, to protect your information, though no method of transmission or storage can be guaranteed 100% secure.

08Your rights

You can ask us to access, correct, or delete the personal information we hold about you, or withdraw consent for future communication, by writing to [email protected]. If you are in India, this includes the rights available to you under the Digital Personal Data Protection Act, 2023. We will respond to reasonable requests within a reasonable time.

09Children's privacy

Our forms are intended for prospective and current members, volunteers, and event participants, who are generally college-age or older. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us and we will remove it.

10Changes to this policy

We may update this policy from time to time as our website or practices change. We will update the "Last updated" date above when we do. Continued use of the site after a change means you accept the updated policy.
